What common messages mean and what to do next

All pages in this guide

Search this page for part of the message, then read across for its meaning and next step. The list covers the messages teachers and students are most likely to see. Wording is quoted exactly as the product shows it.

Messages inside the administrator’s console are not listed. This guide does not cover that console.

Permission and access

Something has been refused because of who you are signed in as, or which organisation issued the link.

Message What it means What to do
Not available to your accountThis roleplay belongs to another organisation. Ask your teacher for a link issued by your own institution. The share link was created by a different institution. The card deliberately names neither the chatbot nor its owner. Get a link from your own teacher. See Opening the activity.
Student access onlyThis roleplay link is for students and teacher testing. A share link was opened by an account that is neither a student nor staff testing. Sign in with the right account.
Sign in with Google to start. A share link was opened by nobody. Sign in. Where an email option is offered it appears under that line.
That account cannot sign in here. Please use the account your school, university or employer issued you… The account belongs to an organisation whose administrator has removed its domain. An address on no organisation’s domain is not refused — it opens a personal account instead. Ask your administrator to add your address back.
Your account is inactive. Contact an administrator. / That account has been deactivated. Contact your administrator. The account exists but has been switched off. Ask an administrator to reactivate it.
Too many sign-in attempts. Try again in about fifteen minutes. Repeated failed sign-ins. Wait it out. Use the password reset if you have forgotten it.
Teachers cannot edit chatbots. Choose a template instead. A standard teacher opened the edit form without LMS authoring permission. Create from a template, ask a lead teacher, or ask whether LMS authoring can be enabled. See Roles.
Only teachers can update chatbots. A save on the edit form was refused because the signed-in account is not a teacher account. A teacher without authority over that chatbot sees Project not found instead. Sign in with your teacher account.
Only teachers can create projects. A create was attempted by an account that is not a teacher account. Sign in with your teacher account.
Only teachers can delete chatbots. A delete was attempted by an account that is not a teacher account. Sign in with your teacher account.
Only staff can rename chatbots. / Chatbot not found or you do not have permission to rename it. The rename was refused, or the chatbot is not yours. Check you own it. See Renaming.
Only lead teachers and administrators can change a chatbot’s teaching content. Teaching-content upload after creation belongs to lead teachers and administrators. Ask a lead teacher. A teacher on an LMS with authoring on can attach documents when creating a chatbot, but not afterwards. See Choosing content.
Only teachers can download responses. The signed-in account is not a teacher account. A teacher without access to the chatbot sees Chatbot not found. or No responses available for download. instead. Sign in with a teacher account.
Only teachers can delete responses. The signed-in account is not a teacher account. Deleting is narrower than reading: only the chatbot’s owner, a lead teacher or an administrator can delete a response, so a teacher who reads through a course they teach cannot delete. Sign in with a teacher account, or ask the chatbot’s owner, a lead teacher or an administrator.

A teacher reached for the authoring surface from inside a launch on a platform without authoring enabled. Follow the link out to roleplaylms.com and sign in there.
No chatbot templates are available to you yet. Ask an administrator to create or share one. A standard teacher opened Create and the organisation has published no templates. Ask a lead teacher to mark one Available as a template. See Templates.

Session and conversation

The conversation itself would not start, would not continue, or has finished.

Message What it means What to do
Project not foundThe link may be invalid or the project is inactive. The join token does not resolve. It may be mistyped or truncated, or the chatbot may be deleted or inactive. Reissue the link from the share icon on the dashboard.
Time limit reachedYou have used all the time available for this conversation. Ask your teacher if you need longer. On a chatbot that remembers students, the whole conversation’s time budget is spent — not only this visit’s. Raise or clear the limit in Additional settings.
This conversation has reached its time limit. The limit ran out mid-conversation. The turn in flight finished; the next one was refused. Nothing is lost. The conversation is saved and readable.
Less than a minute left — finish your point and the conversation will close. The one-minute warning. Said once.
Time is up. Finishing your conversation. The countdown reached zero and the conversation is being handed in.
Picking up where you left off. A paused conversation on a chatbot with memory on. The earlier turns are already above.
Conversation saved. / Saved. You can pick this up next time. Handed in, or paused. See Finishing.
No messages to save. End was pressed before anybody said anything.
No conversation started yet. End was pressed before Start.
Unable to finish conversation. Please try again. The network dropped while handing in. Try again. The turns already exchanged are saved.
Response not found. The response was deleted, or your account does not have access to it. Return to the responses list and check that you opened the correct course activity.
That conversation no longer exists. The conversation this page points at has been deleted. Go back to the responses list, or start a new conversation.
Chatbot not found. The chatbot was deleted, or your account does not have access to it. Check the selected chatbot and your access.
Source chatbot not found. Create from a template could not find the source chatbot. It may have been deleted or unpublished. Choose another template.
No responses yet. / No chatbots yet. Empty states, not errors. See Reading conversations.
Badges: Awaiting review, Unfinished, Test, Template, N parts Held mark; closed by the sweep rather than by the student; a staff test run; a published template; a conversation resumed across several visits. See Reading conversations.

LMS placement and results

Everything here happens between us and your LMS. Most of it is fixed by a teacher editing the activity in the LMS, not by anything in RolePlay LMS.

Message What it means What to do
This activity could not start The wrapper around every launch failure. The specific reason is printed under it. Read the reason below and match it here.
No roleplay has been chosen for this activity yet. The teacher should edit it, choose “Select content” to pick a roleplay… The activity was added but no chatbot was attached. Edit the activity in your LMS and use Select content. See Opening the activity.
This activity points at a roleplay that no longer exists (or has been deactivated). The teacher should choose “Select content” again… The chatbot behind the activity was deleted or deactivated. Pick a current one.
That roleplay belongs to a different organisation, so this LMS cannot launch it… The activity points at another institution’s chatbot. Choose content from your own organisation. Only the platform operator can share content across organisations — contact your administrator or support if you need that.
This activity belongs to an organisation whose RolePlay LMS account is currently suspended, so it cannot start. An account-level suspension. Your administrator needs to contact RolePlay LMS.
This LMS (…) is not registered with RolePlay LMS. / The LMS did not identify itself (no iss parameter). The platform registration is missing or wrong. An administrator re-registers the platform.
The LMS activity this came from is no longer registered. The LMS registration behind this activity has been removed. An administrator re-registers the platform.
The launch could not be verified. / The LMS did not send a signed launch… The signed launch, its saved state, its timing or the LMS registration could not be verified. Open the activity again from the course page. If it still fails, ask the LMS administrator to check the integration.
Could not identify the learner… The platform did not send the stable user identifier required for the launch. A name and email address are not required. Ask your LMS administrator to check that the LTI subject identifier is being sent.
You do not have access to the conversations for this activity. A submission review was opened by somebody with no claim on it. Open the activity from the correct course as an instructor. Contact your LMS administrator if access should be available.
Nothing to review yetThis learner has not opened the activity… / …has opened the activity but has not held a conversation in it yet. The LMS offered a review for a student with no work. Wait for the student to finish.
The selection session has expired. Close this and click “Select content” again. The content picker sat open too long. Start the selection again.
That chatbot could not be copied. Please try again, or tell your administrator. Copying a template during content selection failed. Try again.
This result has already been sent to the gradebook. Commit was pressed twice. Nothing to do.
This conversation is not waiting for review. The mark is not in the held state — usually because it was already committed.
This conversation did not come from your LMS, so there is no gradebook to send it to. A share-link conversation. There is no gradebook column for it. Read it and mark by hand.
The LMS activity has no gradebook column, so there is nowhere to send this. The activity was created as ungraded in the LMS but the chatbot is set to send a mark. Make the activity graded in your LMS, or enter the mark manually.
This conversation could not be marked automatically. Enter a mark before committing. The rubric could not be applied. Nothing is passed or failed by default. Read the conversation and set the mark yourself. See Releasing a mark.
The mark could not be sent to <your LMS>. Nothing has changed — try again. The gradebook write failed. Try again. Nothing was half-sent.
Saved, but the result could not be sent to your LMS. Your teacher can still see it here. Shown to the student when passback failed. Their work is safe. The teacher commits it later, or enters it by hand.
Sent <n>% to <your LMS>. / Result sent to <your LMS>. The mark reached the gradebook.
That link has expiredConnection links last 15 minutes and work once… The LMS account-linking link went stale. Start again from the activity in your LMS.

Quota and limits

Message What it means What to do
No conversations leftYou have used all <n> of your conversations with this chatbot. Ask your teacher if you need another. This student has used every attempt you allowed. Shown before the microphone prompt, not after they start talking. Raise Conversations per student, or set it to Unlimited.
You have used all your conversations with this chatbot. The same, where the number is not known to the page. As above.
Practice minutes used upThis account has no practice minutes left. Add hours to keep going. A personal account, not an institutional one, has run out. Institutional accounts are licensed and never show this. Add hours from the account page.
<plan> — <n> of <m> minutes left this month / Free trial — <n> of <m> practice minutes left. The balance line on a personal account.
Confirm your email address to start your free practice minutes A new personal account whose address has not been confirmed yet. The free minutes are granted when the link in that email is opened, not at signup. Open the link, or press Send it again. Institutional accounts never see this.
This chatbot is not ready yet. Whoever shared it still needs to confirm their email address. A share link from a personal account whose owner has not confirmed their address. Nothing the learner can do — tell the person who sent the link.
That confirmation link has expired or has already been used. Confirmation links last two days and work once. Sign in and press Send it again.
This organisation’s account is suspended. Contact your administrator. Account-level suspension. Nothing will start. Your administrator contacts RolePlay LMS.
Too many voice previews in the last hour. Please try again shortly. The voice preview is rate limited. Wait, then preview again.
That is too much material for one tutor — about <n> words… The uploaded document is beyond what one chatbot can hold well. Upload the chapter or section, or split across more than one chatbot.

Validation

A form would not submit. All of these name the field.

Message What it means
Enter the unit or subject code this chatbot belongs to. Unit code is empty.
Give the chatbot a title — students see this. Title is empty.
Write the instructions the student reads before they start. Student instructions is empty.
Tell the student what they are being asked to do. The same, caught in the wizard before the step advances.
Choose a voice for the character. No voice selected.
Write the role prompt — it tells the character who they are. Role prompt is empty.
A system prompt is required when the behaviour is set to Custom. Custom behaviour with an empty system prompt. See Behaviour.
Choose how the conversation starts. No interaction context chosen.
Write the first line the chatbot says, since it speaks first. The context has the chatbot speak first but there is no starter phrase.
Please provide a chatbot name and unit code. The rename form, with one of its two fields empty.
Please select a chatbot template. Create-from-template with nothing chosen.
Please select a star rating. The student pressed Submit feedback with no star chosen.
The mark must be a number. / The mark must be between 0 and <n>. The assessor’s mark field.
Default chat, TTS, and STT models must be configured by an admin. / Default models or prompts are missing… The organisation has not been set up. Nothing can be created until it is.
Invalid form submission. / Invalid submission. Please try again. The page sat open long enough for its security token to expire, or it was submitted from a stale tab. Reload the page and do it again.

Uploads and teaching content

Message What it means What to do
No text could be read from that PDF. It is most likely a scan or photos of pages, which contain no text to extract. Upload the original Word document, or run the PDF through OCR first. The PDF contains images of pages rather than extractable text. Upload the original document, or OCR it first.
That file type is not supported. Use <the accepted list>. The extension is outside the accepted set, which the form states above the file field. See Teaching content.
That file is too large to upload (server limit <n> per file). Try a smaller file, or split it. / That file is <size>. The limit is <limit>. Beyond the size the server accepts. Split it, or upload the relevant chapter.
That file could not be read. It may be password protected or damaged. Encrypted or corrupt. Save a clean copy and upload that.
That file is empty. / That file contains almost no text (<n> words). Nothing usable was extracted. Check you uploaded the right file.
No file was received. Choose a document and try again. The form was submitted with nothing selected.
<name>: that is not a teaching pack — it <reason> A .json upload that is not a course-generator pack. Upload the pack from the RolePlay LMS bundle, or upload the document instead.
Teaching pack attached from <file> — <n> sections… / <n> documents attached (<names>) — <n> words. Success. The counts show how much the chatbot actually took.
Teaching content removed. This chatbot now has no material of its own. Remove content succeeded. Attach something else, or accept that it answers from general knowledge.
Nothing attached. Without material of its own this chatbot answers from the model’s general knowledge, which is confident and sometimes wrong. The empty state, not an error. See Choosing content.
This content came from the course generator and is rebuilt when the unit is regenerated. Uploading here replaces it until the next rebuild. The content arrived with a generated unit. Expect your upload to be replaced next time the unit is rebuilt.
Chatbot created, but there was a problem with the teaching content: … The chatbot exists; the document did not attach. Attach it again from the edit page.
Image is too large to upload… / Upload did not complete. Please try again. / Could not save the image. An avatar image upload failed. Try a smaller image.

Downloads, exports and email

Message What it means What to do
This export is NOT complete. <n> of <m> conversations were left out because the export reached the server’s time limit. Written into the zip as INCOMPLETE-EXPORT.txt on a large cohort export. Try again. The response-list filters do not narrow a bulk download, so the file’s own advice to filter and re-export is out of date. If it keeps stopping, contact your administrator.
No responses available for download. There are no responses available to your account for this chatbot. Check the chatbot and your access.
Audio is not available for this conversation. A typed conversation, or the recording has passed its retention period. The transcript is still there.
Audio is not available for one or more responses. The same, inside a bulk export.
Unable to prepare download. / Unable to create zip file. / Zip support is not available on this server. A server-side packaging failure. Try again; if it persists, report it.
Audio merge is not available on this server. / Unable to build combined audio for this conversation. The single combined recording could not be produced. Download again; the transcript is unaffected.
Preparing your download…Download ready. The student’s own copy, on the thank-you screen.
Sending email…Email sent to <address>. The student’s transcript went to the address on their account.
Your account does not have a valid email address. No usable address on the account. Use Download instead.
Unable to send email. Please try the download option. The mail send failed. Use Download.
Chatbot link copied to clipboard / Unable to copy link The share icon on a dashboard row. If copying fails, select the link and copy it by hand.
Response deleted. The selected response record and its files are gone permanently. Other parts of a memory thread remain.

Confirmations

Success messages, not errors. Nothing to fix.

Message What it means
Project created. Share the unique link with students. The chatbot was created. The unique link is the share link students use.
Project updated. Your edit saved.
Chatbot renamed. The rename saved.
Chatbot deleted. The chatbot and every conversation with it are gone, permanently.

During the conversation

Message What it means What to do

Unable to access microphone. Permission refused, no microphone, or the page is not allowed to use one. Allow microphone access, choose another microphone, or type instead.
Audio ready. Tap play if it did not start automatically. The browser blocked autoplay. Tap once anywhere; the reply is already there as text.
Transcribing speech please wait / Thinking… The loading panel, for a spoken and a typed turn.
Chatbot request failed. Please try again. The turn did not reach the server. Try again. Earlier turns are saved.
Connecting realtime voice…Live voice connected. Speak naturally. Live voice started.
Realtime voice unavailable — using push-to-talk instead. Live voice could not start and the conversation downgraded. Nothing is lost. Hold the microphone button and release to send. See Having the conversation.
Could not reach the voice service. Please try again in a moment. / The voice service returned something unexpected. Please try again in a moment. The live-voice connection failed at the network. Try again, or continue in push-to-talk.
Realtime voice is not enabled for this chatbot. Live voice is off in the chatbot’s settings. Switch it on in The character.
Phone is ringing. Hold the mic to answer. / Dialing… A phone-call interaction context, before the conversation opens.
Chatbot starter phrase is missing. The context has the chatbot speak first but no first line was written. Add a starter phrase. See The conversation.
Reviewing your conversation… The end-of-conversation feedback is being written.
We could not load your feedback right now. Try again in a moment. The feedback pass failed. The conversation is already saved. Press Retry.
Live feedback is not enabled for this chatbot. The panel was asked for on a chatbot with feedback off. Switch Live feedback on if you want it.

Noted — sending when the teacher finishes. / Noted — keep going; this goes to the teacher when you pause. A whiteboard mark has been registered and will be described to the character. See The whiteboard.
Nothing on the whiteboard yet. The board before anything is drawn.
A message about an unconfigured endpoint, model or API key The organisation’s setup is incomplete. Not something a teacher can fix. Tell your administrator.

If the message is not here

Messages such as Endpoint request failed, returned invalid JSON, or Failed to save… usually need technical support. The conversation turns already exchanged are saved. Note the time, activity and action you were taking, then see When something goes wrong.
